Doncaster and Bassetlaw Hospitals: business change for healthcare IT implementation

Doncaster and Bassetlaw Hospitals NHS Foundation Trust (“Doncaster and Bassetlaw”) wanted to ensure that before updating their hospital IT systems, they aligned their processes and gained engagement from staff and clinicians.

Doncaster and Bassetlaw’s iHospital Programme will support and facilitate the transformation of the trust’s provision of services in accordance to their 2013-2017 ICT strategy. Doncaster and Bassetlaw selected EMIS Health’s Emergency Care Solution (Symphony) and CaMIS Patient Administration System (PAS) to be included in the programme.

Aligning process with technology

To ensure the technology was aligned with the trust’s internal processes, Doncaster and Bassetlaw engaged with the EMIS Health Business Transformation team. Process mapping workshops were held to help the trust identify their current processes and work out a plan to ensure the new systems would meet the objectives of the iHospital Programme.

EMIS Health consultants also facilitated Future State workshops to identify key areas to be improved in the current process. By doing so, Doncaster and Bassetlaw will be able to improve accuracy of information in their systems and improve patient safety and experience.

The process mapping exercise helped the trust gain a better understanding of what happens within the Care Group at current state and helped plan towards future state. The process maps have also been used effectively as templates for other change projects in the trust, proving to be effective tools to help plan and manage change.

Engaging staff

To ensure the transition to the new system went as smoothly as possible, EMIS Health worked together with Doncaster and Bassetlaw to build engagement and communication throughout the trust. Workshops were held with key stakeholders and staff from all levels at the trust to ensure that awareness of the iHospital programme was raised.

Improving communication

By integrating their emergency department and patient administration systems, Doncaster and Bassetlaw have improved communication between different departments, reducing patient information issues such as duplicate registrations between ED and main PAS records.
